HOW TO: Share Multiple Bots Across Sub-Organizations

Overview

You can now share multiple bots across sub-organizations in your workspace. This feature allows centralized management of bots while giving sub-organization admins the flexibility to access and, if permitted, edit shared bots.

Steps to Share Bots

  1. Navigate to the All Bots Page

    • Go to the All Bots page in your parent organization.

  2. Select Multiple Bots

    • Click on Select Multiple.

    • Choose the bots you want to share.

  3. Share with Sub-Organizations

    • Click on the Share with Sub-Organizations icon.

    • A list of all sub-organizations will appear.

    • You can also search for a specific sub-organization.

  4. Set Permissions

    • For each sub-organization, you can choose whether its admins can edit the shared bot.

    • Toggle Can Edit Agent to grant or restrict editing access.

  5. Save Changes

    • Click Save Changes to share the selected bots with the chosen sub-organizations.

Propagation and Updates

  • Shared bots will automatically appear in the child organization’s bot list.

  • Associated scorecards will also propagate.

  • Any updates to:

    • Bot name

    • Bot details

    • Scorecard name

    • Other details

      will be reflected in the child organization, depending on when and how the bot is re-shared.

Resharing

If changes are made after the initial share, you can re-share the bot to ensure the latest updates are propagated to all sub-organizations.

Key Tips

  • Sharing occurs from the parent organization down to child organizations.

  • Editing permissions are fully configurable at the sub-organization level.

  • Scorecards are included in the sharing process.
