How To: Set Up Email Aliases and Internal Email Domains

Last updated: November 4, 2026

Note: Email aliases and internal email domains must be enabled by your Hyperbound team. Reach out to them to turn these features on for your organization.

Summary

Some people on your team use more than one email address, for example after a rebrand, or with a separate address for their dialer or CRM. Email aliases and internal email domains help Hyperbound recognize your team no matter which address shows up.

• Email aliases are extra email addresses for one person.
• Internal email domains are the email domains your company uses.

Important for SSO: each person's main email in Hyperbound (the Email on their profile) must be the same email your SSO provider uses for them. Aliases are never used to sign in.

🛠 Tools Required

• Admin access in Hyperbound
• Email aliases and internal email domains turned on by your Hyperbound team

Email aliases

When one of a person's aliases shows up on a call, meeting or CRM record, Hyperbound connects it to that person. This helps make sure:

• Calls are credited to the right rep
• CRM deals show the right owner
• Meetings and emails are linked to the right rep and deal
• Slack and Microsoft Teams notifications reach the right person

Add an alias

1. Go to Settings → Users & Teams.
2. Click the person you want to update.
3. Find Email Aliases on their Overview tab.
4. Type the email address and click Add alias. You can add several at once.

Remove an alias

Click the X next to the alias.

Add aliases for many people at once (CSV)

CSV requirements

• A .CSV file, up to 2 MB and 5,000 rows
• A header row with column names
• An email column (required) with each person's main email address, the one they sign in with
• An emailAliases column with their aliases. If someone has more than one, separate them with a semicolon, like jane@oldname.com;jane.sales@yourcompany.com. Leave the cell blank for anyone without aliases.
• Optional columns: team, parentTeam, role (Member, MemberPlus, Admin or Observer), region, companyJoiningDate

Example

In this example, Jane has two aliases, Sam has one, and Alex has none, so Alex's emailAliases cell is left blank. You can add any of the other optional columns too.

Tip: click Download sample CSV in the upload window to get a template with the right columns.

Upload your file

1. Go to Settings → Users & Teams and open the CSV upload.
2. Upload your file and check that each column is matched. Your aliases column should be matched to Email Aliases.
3. For people already in Hyperbound, choose Apply updates from CSV.
4. Review the changes and confirm.

Good to know

• CSV uploads add aliases but don't remove them. To remove an alias, use the person's Overview tab.
• If an alias in your file is already in use, Hyperbound skips that alias and still applies the rest of the row.

Alias rules

• Your SSO email must be the main email. The email your SSO provider sends for a person must match their main email in Hyperbound. If SSO sends an address that's only an alias, Hyperbound won't match it to that person's account.
• Each alias can belong to only one person.
• An alias can't be an email address someone already uses to sign in.

Internal email domains

Add every email domain your company uses. Anyone with an email address on these domains is treated as part of your team, not as a customer, on calls, meetings and deals.

Add a domain

1. Go to Settings → Workspace Settings.
2. Find Internal email domains.
3. Type the domain (for example yourcompany.com) and click Add domain.

To remove a domain, click the X next to it.

Good to know

• Your main sign-in domain may already be listed. Add any others your company uses, including regional ones like uk.yourcompany.com.
• Personal email domains such as gmail.com or outlook.com can't be added.

📝 FAQ

Can someone sign in with an alias, or through SSO with an alias?
No. Hyperbound only signs people in with their main email, including through SSO. Make sure the email your SSO provider uses for each person is their main email in Hyperbound, and add any other addresses as aliases. If someone's SSO email is different from their main email, change their main email to match.

Should I use an alias or an internal domain?
Use an alias when one person has an extra email address. Use an internal domain when a whole domain belongs to your company. You may need both: a domain tells Hyperbound someone is on your team, and an alias tells it which person they are.
